Who we are

Work Buddy Program (“we”, “us”) operates workbuddyprogram.com, a gamified accountability tool for workplace, educational, and community buddy programs. This policy explains what data we collect and how we use it.

What we collect

• Facilitator accounts: email address and authentication data used to sign in and manage rooms.
• Participant details: the name entered when a buddy joins a room, optional email (added by the participant or their facilitator) used for prize eligibility, optional workplace location, and an optional profile photo.
• Room content: department lists, bingo tiles, pair names, pair photos, tile completions, and any photos uploaded to complete bingo tasks.
• Usage data: if you consent to analytics cookies, aggregated page views and interaction events via Google Analytics.
• Contact form submissions: the name, email, and message you send us.

How we use it

• To run buddy rooms, pair participants, and show insights.
• To send optional facilitator notifications (for example, when a free-tier room is about to expire from inactivity).
• To respond to messages sent through our contact form.
• To improve the product using aggregated, non-identifying analytics (only when you accept analytics cookies).

Storage and retention

We retain personal data for as long as needed to provide the service and for a reasonable period afterwards to meet legal, accounting, or reporting requirements. Free-tier rooms with no participant activity for 30 days are automatically deleted; facilitators receive a warning email 7 days before removal. Facilitators can delete rooms at any time from room settings.

Cookies

We use necessary cookies to keep facilitators signed in and to remember room-related preferences. With your consent we also use Google Analytics cookies. See the Cookie Policy for details and to change your choice.

Third parties

We rely on service providers to run the app: our backend and authentication provider (database, storage, and edge functions), Google Analytics (only when you consent), and Resend for transactional email. These providers process data on our behalf under their own security and privacy commitments.

Your rights

You can request access to, correction of, or deletion of your personal data by contacting us through the contact form. Depending on where you live, you may also have the right to object to or restrict certain processing.

Children

Work Buddy Program is intended for workplace and adult community use and is not directed at children under 13. We do not knowingly collect personal data from children.

Changes

We may update this policy from time to time. Material changes will be reflected on this page with a new “Last updated” date.
